The time off calendar

People → Time off → Time off calendar lays a month out so you can see who is away at the same time as who else.

A list of requests answers "who asked for what". It does not answer the question you usually have, which is "does anything break that week" — and deciding one request without seeing the week around it is how a team ends up with nobody covering. So the approve and decline buttons are on this screen, under the grid.

What you see

One row per person who has time off in the month. Not everybody — somebody with nothing booked has no row, because a wall of empty rows buries the answer. If nobody you can see is away, the page says so and names the month.

Who appears depends on who you are, and it is the same rule as everywhere else in People:

That is enforced by the database, not by the page, so it is the same whichever way you arrive.

Reading the grid

  • Solid — approved. Agreed, and safe to plan around.
  • Striped — requested, not yet approved. Nobody has agreed to this yet.
  • Half filled — a half day.
  • Shaded column — a weekend.
  • The current day has a line down its left edge.

The distinction between solid and striped is the one worth remembering. Pending time off is not time off yet, and planning cover around it is the mistake the stripes exist to prevent.

Hover any block to read who it is, which leave type, and whether it is approved.

Colors

Each leave type gets a color, shown in the key under the grid. Set them under People → Time off → Configure — each type has a color swatch next to its name.

Until you choose one, a type is given a consistent color of its own, so the calendar is readable before anybody configures anything. Choosing colors deliberately is worth it if you have several types and want holiday to stand out from sick leave at a glance.

Approving from here

Under the grid, Waiting on you lists the requests in that month you can decide, with Approve and Decline on each. It only lists requests you are genuinely able to decide — your own are not there, because nobody approves their own time off. (The one exception is an owner, who has nobody to ask.)

Approving from here does exactly what approving from the requests page does: the person is emailed, and their balance is updated.

What it does not do

It does not show public holidays or working patterns — it shows time off that was requested. For "who was expected to work and did not log anything", use Reports → Coverage, which does account for holidays and non-working days.
