Time Trakkr can remind people about forms HR has sent them and they have not finished. Reminders come with the People add-on and are set up by HR admins at HR → Reminders, or /hr/reminders.
Each kind of form is one row, saying in a line what it will do; open a row to change it, and Save reminders saves them all at once.
A new workspace starts with reminders on for every kind of form: the first a week after sending, then weekly, at most three, and one the day before it is due. A workspace created before that keeps what it had, which is off unless an HR admin switched them on: switching them on for everyone at once would have chased every request already left open. Either way, each kind of form is set separately. Switching them on starts on the next hourly check, and includes forms that were sent before you switched it on.
| Form | Who is reminded | Until |
|---|---|---|
| Forms | whoever has one to fill in | it is submitted, or the form is closed |
| Surveys | anyone who has not answered | they answer, or it is closed |
| Document requests | the person asked | something is uploaded against the request |
| Profile details | the person asked to complete their profile | they next save their profile |
Only active members are reminded.
For each kind of form you choose:
Reminders go by email and as a line in the app, on weekdays between 9:00 and 17:00 in the workspace's time zone. One that falls due on a Saturday goes on Monday morning. Nobody is reminded twice in one day, and the same reminder is never sent twice, however often the check runs.
When you send a form or a survey, or ask for a document, Reminders offers:
Reminders stop when somebody answers, so a run of reminders shows roughly when they finished. HR can already see who has finished, and anonymous answers carry no name or time, so this does not link anyone to their answers.
The Form reminders page lists the most recent reminders: who, about which form, which reminder in the sequence, and when.
HR admins can ask the assistant what the reminder schedule is (form_reminder_settings) and change it for one kind of form (set_form_reminder_settings).
