Joining from an invitation

When someone adds you to a Time Trakkr workspace, you receive an email with an invitation link. Opening that link is how you join. This article walks through accepting the invite and the sign-in choices you may see along the way.

Opening the invitation

The link takes you to a page headed Join followed by the workspace name, for example Join Acme Corp. It shows the email address the invite was sent to and the role you have been given as a small badge. You must use the same email address the invitation was sent to. If you sign in with a different address you will see "This invitation was sent to a different email address. Sign in with the invited address."

Invitations can expire. If the link no longer works you will see "This invitation has expired — ask your admin for a new one" or "This invitation link is invalid or was already used." In either case, ask an administrator to send a fresh invite.

Creating your account

What you see next depends on whether you already have an account.

  1. New to Time Trakkr. Enter Your name and choose a password (minimum 8 characters), then select Create account & join. Prefer Google? Choose Continue with Google instead.
  2. Your account was imported (for example during a Harvest migration). You will see "Your account was created during a migration and needs a password." Select Email a set-password link to the address shown, set a password from that email, and you will return to this page to finish. Or choose Or continue with Google.
  3. You already have an account. Sign in first using the link provided, then accept the invitation here.

If you are already signed in with the invited address, the page simply offers an Accept invitation button. Selecting it completes the join and lands you in the workspace at your Timesheet.

When the workspace requires Google or 2FA

Some organizations set extra sign-in rules that affect how you join.

  • Google sign-in required. If the workspace requires Google, email and password sign-in is refused and you will see "Your workspace requires Google sign-in — use 'Continue with Google' instead." Use the Continue with Google option. Password reset stays available because a password is still used to enable two-factor authentication.
  • Two-factor authentication required. If the workspace requires 2FA, you are sent to Account security to enroll before you can use the workspace. There you confirm your password, choose Set up two-factor, scan the QR code with an authenticator app such as 1Password, Google Authenticator, or Authy, save the one-time backup codes, and enter the current 6-digit code to finish with Verify and enable.

If you signed in with Google and never set a password, you will need one as a fallback for 2FA. Use the Email me a set-password link option on the Account security page, or Forgot password? on the sign-in page, then return to enroll.

After you join

Accepting drops you on your Timesheet, ready to log time. For a map of everything in the left sidebar, see the workspace tour. To understand what your role lets you do, see roles and permissions.
