Clients and contacts

A client is a company you do work for. Every project belongs to a client, and clients also hold the billing details and contact people that invoices and estimates use. The Clients page is where you manage them. Creating and editing clients is limited to owners and admins; managers and members do not see these controls.

Creating a client

  1. Open Clients and select + New client.
  2. In the New client window, type a Client name.
  3. Select Create client.

The window notes that "Address, currency, and invoice defaults live on the Edit page." Open a client and use its Edit page to fill in the Address (printed on invoices), a Preferred currency, an Invoice due date default, and default Tax and Discount values. Those defaults flow into any invoice you raise for the client, so setting them once saves time later. See invoicing tracked time for how those values are used.

Contacts

Contacts are the individual people at a client — the ones who receive what you send. On a client's page, select + Add contact and fill in the Add contact window:

  • Name (required)
  • Title (optional)
  • Email (optional)
  • Phone (optional)

Select Add contact to save. A contact's email is what Time Trakkr uses as the recipient when you email an invoice or an estimate to that client, so add an email to any contact you plan to send documents to. You can add several contacts to one client and remove any of them with the × button next to their name.

Filtering the list

The Clients page has a filter box at the top. Type into Filter by client or contact to narrow the list, which matches on both client names and contact names — handy when you remember a person but not the company. If you have no clients yet, the page reads "No clients yet — add your first."

Archiving and restoring

When you stop working with a client, archive it to keep your active list focused without losing any history.

  1. Open the client and select Archive client on its Edit page.
  2. The client moves out of the active list and shows an Archived badge.

A client can only be archived once its work is wrapped up. If it still has active projects you will see "You cannot archive "{name}" because it has active projects." — archive or move those projects first, then try again.

To bring a client back, tick the Archived checkbox on the Clients page to reveal archived clients, then select Restore on the one you want. Archiving is fully reversible, and none of the client's projects, contacts, or billing history is deleted.

Who can manage clients

Client creation, editing, archiving, and restoring are all admin-only actions, available to owners and admins. Managers can work with projects under a client but do not manage the client records themselves. For a fuller picture of what each role can do, see roles and permissions.
