Archiving and deleting projects and clients

When you finish with a project or a client, archive it. Archiving takes it out of everyday lists and pickers. All of its time, expenses, invoices and reports stay as they were, and it can be restored at any time.

Deleting removes it for good and cannot be undone. Time Trakkr only allows it for a project or client that was archived first and has nothing attached, such as one created by mistake.

Archiving

  • A project: on the Projects page, select Archive on its row. Owners, admins and managers can archive projects.
  • A client: open the client and select Archive client on its Edit page. A client can be archived only once none of its projects are active. Owners and admins can archive clients.
  • Several at once: use Settings → Bulk.

To see archived records, choose Archived projects in the list on the Projects page, or tick Archived on the Clients page. Select Restore to bring one back.

Deleting for good

In the archived view, owners and admins see Delete… beside Restore. Select it, read the confirmation, and select Delete.

A delete is refused, with a message saying what is attached, when:

  • A project has any time entries, expenses, invoice or estimate lines, retainers, schedule bookings or agent sessions. For example: "This project has 3 time entries, so it can only be archived."
  • A client has any projects (archived ones included), invoices, estimates, recurring invoices, retainers or published reports. Delete the client's projects first if they have nothing attached either, then the client.

What goes with a deleted record:

  • With a project: its tasks, team members, budgets, rates, and any Jira or agent mapping rules that point at it. Calendar or agent drafts that named the project are kept, without a project.
  • With a client: its contacts and any agent rate rules for it.

Deleting is not available from the assistant or the API. Over the API, DELETE /v1/projects/{id} and DELETE /v1/clients/{id} archive the record, and answer 200 with an empty body.
