Weekly project rollups

A rollup is a weekly email summarising the projects somebody looks after. It lists hours logged over the past week, how much of each budget has been used, and any project with no time logged at all.

What it says, and why in that order

Projects with no time logged come first. You already know what your busy projects did — you were in the meetings for them. The project nobody touched is the one you could not have known about, so it leads rather than sitting somewhere in a table.

The rest follow with the busiest first. Where a project has an hours budget, the rollup shows how much of the whole budget has gone — not how much went this week, which is rarely the number you act on.

It contains no money. Rates, costs and margin are visible to some roles on screen, and an email can be forwarded in a way a screen cannot, so revenue stays out of it.

Setting one up

Go to Settings → Rollups. You need to be an owner or admin.

Choose a role — Account Manager, Project Manager, or anything in your work-role list — then a day and an hour. The hour is in your workspace's timezone.

Everybody holding that role on a project receives the rollup, covering the projects they hold it on.

Why it is set up per role rather than per person

Because people change and lists do not. A new account manager is included the moment they are given the role, and somebody who hands over an account stops receiving it. Nobody has to remember to update a distribution list, and there is no silent failure where a new starter simply never hears anything.

It also means the rollup follows the work: if you are the account manager for three clients, you get one email covering all of their projects, not three.

If nothing arrives

The most likely reason is that no roles have been assigned yet. A rollup is addressed to a role, so if nobody holds it on any project, there is nobody to send to. Roles are set on a project's Team panel, or for a whole client at once from the client page.

The other possibility is that the person has switched it off. Anybody receiving a rollup can turn it off for themselves under their own notification settings, and every rollup carries a link to do exactly that.
