Sending client email from your own domain

By default, email Time Trakkr sends to your clients comes from Time Trakkr's address. On the paid plan you can send it from your own domain instead, such as [email protected]. Clients see your name, mail filters trust your domain, and replies come to you.

Set it up under Settings → Client email. You need to be an owner or admin.

Setting it up

  1. Enter your domain, for example yourcompany.com, and select Add domain.
  2. You see a short list of DNS records. Add them wherever your domain's DNS is managed, such as your registrar, Cloudflare or Google.
  3. Select Check verification. DNS changes can take anything from minutes to a few hours to be seen, so check again later if it isn't verified yet.
  4. Choose a sender name, such as "Acme Billing", and the address before the @. The default is billing.

Once the domain shows Verified, client email goes from it, and the page says exactly what address is being used.

What it covers, and what it doesn't

From your domain: invoices and estimates you email, shared reports sent to named people, and invitations to join your workspace.

Still from Time Trakkr: reminders, approval notices, password resets and everything else sent to your own team. Those are about Time Trakkr itself, and keeping them on our domain means they arrive whatever happens to yours.

If something changes

  • The domain stops verifying, for example because DNS records were removed: client email goes from Time Trakkr again. Nothing fails to send.
  • The subscription ends: the same. Client email falls back to Time Trakkr's address.
  • You remove the domain: you can do this at any time, on any plan.

Each workspace can use one domain, and a domain can belong to only one workspace.

Ask the assistant

The assistant can tell you which address your client email currently goes from, and why. It cannot add or verify a domain; that needs the DNS records, on Settings → Client email.
