Harvest changed how it charges in 2026. The seat price is still on the pricing page, but it is now a base rate, with usage-based charges on top. For a lot of agencies that turned a predictable bill into one that depends on how many projects, clients and invoices they had last period.
This post sets out what Harvest publishes today, works an example, and then covers what it takes to move, including what does not come across. We make Time Trakkr, which is one of the places you might move to, so read the comparison with that in mind.
What Harvest publishes, as of November 5, 2026
From Harvest's pricing page, read on November 5, 2026:
| Plan | Billed annually | Billed monthly |
|---|---|---|
| Free | $0, 1 seat, 2 projects | – |
| Teams | from $9 per seat per month | from $11 per seat per month |
| Enterprise | from $14 per seat per month | from $17.50 per seat per month |
| Enterprise Plus | custom | custom |
The Teams and Enterprise prices are base rates. The page says that "additional invoices, projects, clients, and tasks are billed based on what you use". Harvest's help center describes two ways to be billed on either plan. Flex is a per-seat rate plus usage-based charges calculated on the previous billing period's active projects, clients, tasks and invoicing, with a free usage allowance on each plan. Unlimited is a fixed price instead.
What is not published: the size of the Flex allowance, the price of each unit above it, and the Unlimited price. Neither the pricing page nor the help article we read gives them. Figures for both circulate on other sites, but we could not confirm them from Harvest, so we have not used them here. If you are deciding on cost, use your own account: Harvest's help center says an admin can see current usage and projected charges, and simulate changes, under Settings → Billing. Only items with time tracked in the period count toward usage.
A worked example
A 12-person agency that needs timesheet approvals and profitability reporting. On Harvest those are on Enterprise.
| Harvest Enterprise, annual | Time Trakkr paid plan | |
|---|---|---|
| Per person per month | $14 | $10 |
| 12 people, per month | $168 | $120 |
| 12 people, per year | $2,016 | $1,440 |
| Usage-based charges | On Flex, on top and unpublished; Unlimited is a fixed price, also unpublished | None |
On Harvest's Teams plan the same team's base is $108 a month, which is less than our $120. That is a fair comparison only if Teams has what you need, and you still have to add the usage charges you cannot see in advance.
On Time Trakkr, time tracking, invoicing, profitability, expenses, every report and the import are free for unlimited people. The paid plan, at $10 per active member per month, adds timesheet approvals, scheduling, HR, scheduled backups, email from your own domain and scheduled reports. If you do not need any of those, the honest comparison is Harvest's price against $0.
What moves across
Time Trakkr imports from Harvest with your Harvest account ID and a personal access token, in two steps. The Harvest migration guide has every detail; in short:
Step 1 brings clients, projects, tasks and people, with their rates and capacity. Active Harvest people arrive as invited members, who cannot sign in until you invite them. Archived people arrive as disabled members, so their history still attaches. Each project's billing type comes across, and so do its budgets: hours per project, total project fees, monthly budgets and hours per person.
Step 2 backfills your time entries, in the background. An optional only before date, which defaults to your first day tracked in Time Trakkr, stops imported history and new hours from counting twice.
Both steps can be run again without creating duplicates, and a re-run does not overwrite changes you have made since.
What does not move across
- Invoices are not imported. Keep your Harvest invoice history, or export it, for the periods you have already billed.
- Expenses are not imported.
- Task budgets are not imported, because Time Trakkr has no per-task budget yet. The import summary says how many projects had them, so you can set a project budget instead.
How long it takes
Connecting and running step 1 takes minutes. The backfill depends on how much history you have and runs in the background, so a large account can take a while. The part that takes real time is checking the result: compare hours by project and person for a finished month in both systems before you send the first invoice. The migration reconciliation checklist walks through it.
When to stay on Harvest
Harvest has been doing invoicing and accounting integrations for a long time, and its QuickBooks and Xero integrations and payment handling are more complete than ours. If those are what you rely on, and the usage charges are tolerable for your volume, staying is reasonable. The side-by-side comparison says where each is stronger.
Common questions
When did Harvest's pricing change?
Harvest moved to a base seat rate plus usage-based charges in 2026. Its help center notes that for new accounts the usage charges begin at the second paid renewal, and that customers who upgraded before November 7, 2024 may be on legacy plans.
Does Harvest publish its usage fees?
Not that we could find. As of November 5, 2026, its pricing page and help center explain the model but give no allowance sizes, unit prices or Unlimited price.
Can I run Harvest and Time Trakkr side by side while I check the import?
Yes. The import reads from Harvest and changes nothing there, and you can re-run it as Harvest changes. Pick a cutover date, and use the "only before" date so the two do not overlap.
Will my team need to re-enter anything?
Not their history. They need to accept an invitation and sign in, and start logging new time in Time Trakkr from the cutover date.
